The Nichirei Group’s Handling of Personal Information

We, Nichirei Corporation and its Group companies (hereinafter, the “Nichirei Group”) hereby give notice regarding our handling of personal information in our possession.
Their use of the term personal information excludes specific personal information (click here for details). Our use of the term specific personal information is provided here.

Group companies are those in which Nichirei Corporation holds a majority of voting rights (hereinafter, “Subsidiaries”) and those in which its Subsidiaries hold a majority of voting rights (hereinafter, “Subsidiaries’ Subsidiaries”), as well as companies in which Subsidiaries’ Subsidiaries hold a majority of voting rights. (1) Purpose for Use of Personal Information

The Nichirei Group uses personal information it has obtained within the scope of use for the following objectives.

In the event that personal information is obtained directly in writing (including via the website, electronic mail, or other electronic means) from customers and other stakeholders, the Nichirei Group will reveal in advance the use to which the information is to be put at each juncture, except when otherwise legally required. It will state the use to which such information is to be used in the case of the following:

  • Campaigns, prize drawings, and the sending of premiums;
  • Notices regarding contests, events, exhibitions, seminars, and other activities; reporting their results; and operations-related matters;
  • Delivery of products that have been ordered; the provision of services that have been applied for; and the provision of after-sales services;
  • Settlement and other ancillary activities related to the sale of products and provision of services;
  • Provision of information related to facility use and responding to the use of facilities;
  • Registration of services using electronic mailshots and the Nichirei Group website (including mobile sites), as well as transmission, confirmation, and other activities related to these services;
  • Responding to inquiries, or confirming opinions;
  • Requesting participation in surveys and providing reward items;
  • Statistical processing that does not identify individuals and is connected with enhancing the quality of products and services;
  • Providing notice of, or proposing, products or services offered by business partners;
  • Sending Nichirei Group publicity and other materials;
  • Acquiring, owning, disposing of, leasing, managing, selling or purchasing, or acting as an intermediary in real estate;
  • Managing shareholders as prescribed by the Companies Act and other legislation, providing shareholders with various notices, contributing to their convenience in various ways, and implementing certain measures;
  • Conducting entrusted operations, in the event that the handling of personal information is entrusted to other parties;
  • Communicating with, and providing a variety of information to, people desiring employment, and screening people seeking employment;
  • 16. Communicating with retirees in response to labor-related laws and regulations, and for urgent matters;
  • Managing the employment, as well as personnel and labor relations of executives, employees, and others and welfare-related operations.

(2) Shared Use of Personal Information by the Nichirei Group

The Nichirei Group may share internally the following items within the scope of the purpose of use.

  • • The personal data of people who have submitted inquiries
    1. Items of personal information for shared use: Name, address, and other personal information obtained in the course of consultations with, or inquiries made to, the Nichirei Group.
    2. Scope of shared use: the Nichirei Group.
    3. Purpose of use when obtained by people with shared use: to ensure a smooth response to consultations and inquiries.
  • • The personal data of current or former employees
    1. Items of personal information for shared use: name, address, and other items required for personnel administration.
    2. Scope of people with shared use: the Nichirei Group.
    3. Purpose of use when obtained by people with shared use: for personnel administration of current and former employees.

(3) Provision and Disclosure of Personal Information to Third Parties

Personal information obtained by the Nichirei Group will not be provided or disclosed to third parties except in the following instances.

  • If the individual’s consent and authorization is obtained in advance
  • If necessary for the protection of the individual’s life, health, property, or important interests
  • If it becomes necessary to confirm personal information between financial institutions and the Nichirei Group with regard to the settlement of payment for the ordering of products or the use of paid services
  • For shared use in the event the necessary measures have been taken
  • For the provision or disclosure, within the necessary scope related to services provided by the Nichirei Group, to an outsourced business partner with which the Nichirei Group has entered into a confidentiality agreement in advance
  • If legally or otherwise required to provide or disclose such information

(4) Management of Personal Information

When managing personal information, we designate a person in charge of management and manage information appropriately as follows.

  • We establish Company regulations and endeavor to protect the personal information of our stakeholders
  • We have in place appropriate information-related security measures, including those to counter fraudulent access and computer viruses, prevent fraudulent access, and address risks including loss, destruction, and falsification
  • We restrict access to internal databases where personal information is stored and manage these databases appropriately, to prevent improper use inside the Company
  • To provide better services to stakeholders, we may entrust the handling of personal information to outside parties, in which case we select outside service providers that handle personal information appropriately; have in place the necessary agreements to prevent leaks of personal information, covering the management of personal information to ensure confidentiality; and have prohibitions against providing information to third parties, thereby ensuring that outside service providers manage such information appropriately

(5) Provision of Information to the Individual

When supplying personal information, the Nichirei Group and its outsourced service providers may impart information via e-mail or other methods that the Group deems to be of interest to the individual.

(6) Procedures for Responding to Requests for Disclosure of Personal Information

The following procedures apply when an individual or their proxy requests the disclosure of personal information (including notification of the purpose of use, content revisions, additions or deletions, cessation of use, erasure, or the cessation of provision to third parties).

  • Documents required to request disclosure (including notification of the purpose of use, disclosure, content revisions, additions or deletions, cessation of use, erasure, or the cessation of provision to third parties)
    If requesting disclosure related to retained personal data held by Nichirei Group companies, please ask for a personal information disclosure request form by telephone from the inquiries desk and fill in the required items
    Please enclose the following items to confirm your identity It should be noted that retained person data is that which can be disclosed or revised by the Nichirei Group. For details, please refer to the Act on the Protection of Personal Information (Act No. 57 of May 30, 2003) and the Order for Enforcement of the Act on the Protection of Personal Information (Cabinet Order No. 507 of December 10, 2003)
    • o Documents to confirm an individual’s identity
      A copy of one of the following: driver’s license, passport, health insurance card, certificate of residence, or family register
      (Please redact your permanent address.)
  • Method for submitting requests for disclosure Please post the necessary documents (providing your name, address, and other items required for personnel administration to the inquiry desk. Please write “Personal Information Contained Inside” in red on the envelope and send it by certified or registered post to ensure that there is a record of the item having been posted
  • Requesting disclosure via a proxy When making a request for disclosure via a proxy, please enclose the documents below, in addition to the necessary documents (providing your name, address, and other items required for personnel administration)
    • o Documents for confirming a proxy’s identity
      A copy of one of the following: driver’s license, passport, health insurance card, certificate of residence or family register
      (Please redact proxy’s permanent address.)
    • o A power of attorney document (include a letter of authorization with the personal seal of the individual, as well as a personal seal registration document for that seal, issued within the past three months. If the proxy has parental authority, instead of the letter of authorization, provide an abridged copy of a family register or certificate of residence issued within the past three months.)
  • Fees for requesting notification of the purpose of the information used or its disclosure
    Any fees necessary for preparing the necessary documents indicated in 1. and 3. above are to be borne by the individual or his/her proxy, as well as the cost of posting these documents
  • Method of responding to requests for disclosure We will respond in writing to the address of the individual or proxy contained in the request form
  • Other
    • o If the above procedures are not followed, we reserve the right not to respond to the request for disclosure
    • o Please understand that disclosure may not be requested by visiting the Company in person
    • o Above procedures may be revised in the event the procedure for requesting disclosure needs to be revised, due to changes in the law or for other reasons. Whenever requesting disclosure, please confirm the required procedures

  • Personal information and specific personal information
    To clearly differentiate between the terms personal information and specific information, as used in this policy, the terms are defined as follows.
    • Personal information: This is information that does not include the numbers allocated to individuals for their lifetime by Japanese government (based on the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure). Known as the Social Security and Tax Number System, it is to be used for administrative procedures related to social security, taxation, and disaster response in Japan
    • Specific personal information: This information comprises the numbers permanently allocated to individuals by Japanese government, as well as personal information related to those individual numbers
  • Definition of “retained personal data”
    This refers to personal data that the Company may disclose and revise. For details, please refer to Japanese laws and regulations, including the Act on the Protection of Personal Information.
