The Nichirei Group’s Handling of Specific Personal Information

We, Nichirei Corporation and its Group companies1 (hereinafter, the “Nichirei Group”; click here for a definition of Group companies) hereby provide the following notice with regard to the handling of the specific personal information. 1. Purpose of Use of Specific Personal Information

The Nichirei Group uses the specific personal information it has been provided within the declared scope of use for the following objectives in Japan.
In the event that specific personal information is obtained directly in writing (including via the website, electronic mail, or other electronic means) from customers and other stakeholders, the Nichirei Group will reveal in advance the purposes for which this information is to be used, except when exempted by law. The Nichirei Group will reveal the purposes for which specific personal information is to be used in the following cases:

  • Matters related to the preparation of transfer notifications for employment income earners as a means to facilitate payroll reporting and special tax collection
  • Items related to declarations, notifications, and the preparation of application forms pertaining to workers property accumulation savings
  • Matters related to the preparation of payment reports for recipients of retirement allowances, etc.
  • Items related to notifications, applications, requests, and the preparation of certificates pertaining to employment insurance and industrial accident compensation insurance
  • Items related to notifications, applications and requests pertaining to health insurance, employee’s pension , corporate pensions, and the Smaller Enterprise Retirement Allowance Mutual Aid Scheme
  • Items related to notifications pertaining to the third grade of the National Pension
  • Items related to the preparation and provision of statutory documents for financial instrument transactions pertaining to employee stock ownership plan
  • Inquiries about items related to the preparation of statutory reports pertaining to payments of insurance proceeds from employee welfare benefit plans
  • Other requests for participation in surveys regarding items related to the preparation of statutory documents necessary for Japanese government-allocated numbers held by executives (employed and retired) and their dependents
2. Specific personal information of individuals who sell or lease real estate to the Nichirei Group
  • Items related to the preparation of payment records for real estate agent and broker fees (including for company housing)
  • Items related to the preparation of payment records for the transfer of real estate
  • Items related to the preparation of payment records for brokerage commissions on the purchase and sale or lending of real estate
3. Specific personal information of individuals who receive remuneration, fees, signing bonuses, or monetary awards from the Nichirei Group
  • Items related to the preparation of payment records related to remuneration, fees, signing bonuses, and monetary awards
4. Specific personal information regarding shareholders of Nichirei Corporation
  • Items related to the preparation of payment records for interest.
  • Items related to the preparation of payment records for dividends, as well as the distribution of surplus funds and fund interest

2. Compliance with Relevant Laws, Regulations, Guidelines, etc.

The Nichirei Group complies with Japanese laws and regulations, including the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure, Guidelines for Proper Handling of Specific Personal Information (for Private Entities), and the Act on the Protection of Personal Information, and handles specific personal information appropriately.

3. Items Related to Safety Management Measures

With regard to the management of specific personal information, the Nichirei Group shall ensure appropriate security control measures by appointing personnel responsible for the management of this information and establishing internal regulations formulated to prevent its leakage, loss, or damage. 4. Procedures for Responding to Requests for Disclosure of Specific Personal Information

We encourage individuals or representatives who wish to submit inquiries or requests regarding specific personal information retained by the Nichirei Group to contact our inquiries desk by telephone. The Nichirei Group will follow the procedures below when responding to requests received in connection with specific personal information retained by the Nichirei Group.

(1) Contacting the inquiries desk by telephone
We encourage individuals who wish to submit inquiries or requests regarding specific personal information retained by Nichirei Group companies to contact our inquiries desk by telephone. An appropriate application form will be sent in response to inquiries.
(2) Submission of required documents to our inquiries desk
Please fill out all required items on the appropriate application form and send the form by mail to our inquiries desk, enclosing the documents indicated in sections “a” and “b” below. When submitting applications to our inquiries desk, please write “Specific Personal Information Application enclosed” on the encapsulating envelope in red ink and send it by registered mail or another method by which a record of delivery can be confirmed (specified recorded mail, simplified registered mail, etc.). (The cost of preparing the required documents and the postage incurred when sending them to the Company shall be borne by the individual or his/her representative.)
a. One of the following identity-verifying documents
  • A copy of the corresponding individual’s driver’s license (including a copy of the reverse side, if applicable)
  • Health insurance card or certificate of residence
  • A copy of the corresponding individual’s family register (please blank out information regarding the individual's permanent legal address)
b. One of the following documents verifying the relationship between individual concerned and his/her representative (not required if the request is made by the individual concerned)
  • A letter of authorization (bearing the concerned individual’s personal seal) and a corresponding seal registration certificate issued within the last three months
  • Documents proving that the applicant is a person with parental authority, a guardian, or some other legal representative of the individual concerned (a copy of the appropriate family register, certificate of residence, certificate of guardianship, etc.)
c. One of the following documents confirming the identity of the submitting person acting as a representative of the individual concerned
  • A copy of the submitting person’s driver’s license (including a copy of the reverse side, if applicable)
  • Health insurance card or certificate of residence
  • A copy of the submitting person’s family register (please blank out information regarding his or her permanent legal address)
(3) Response to applications
We will respond in writing to the individual or his/her representative at the address stated on the corresponding request form.
(4) Other
If the above procedures are not followed, we may be unable to respond to requests for disclosure, etc. Please note that we cannot accept requests made in person at our offices. Request procedures may be revised as necessary due to changes in applicable laws and regulations, etc.

The inquiries desk is affiliated with Nichirei Corporation which, on behalf of Nichirei Group companies, handles inquires pertaining to specific personal information retained by Group members.
Please understand that disclosure may not be requested by visiting the Company in person. Each Nichirei Group company may prescribe its own separate regulations regarding the handling of specific personal information, in which case such regulations shall take precedence.   1. Definition of Group Companies
    “Group companies” include companies that are headquartered in Japan and in which Nichirei Corporation holds a majority of voting rights (hereinafter referred to as “subsidiaries”); companies in which subsidiaries hold a majority of voting rights (hereinafter referred to as “second-tier subsidiaries”) and companies in which second-tier subsidiaries hold a majority of voting rights.   2. Personal information and specific personal information
    To clearly differentiate between the terms personal information and specific information, as used in this policy, the terms are defined as follows.
    • Personal information: This is information that does not include the numbers allocated to individuals for their lifetime by Japanese government (based on the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure). Known as the Social Security and Tax Number System, it is to be used for administrative procedures related to social security, taxation, and disaster response in Japan
    • Specific personal information: This information comprises the numbers permanently allocated to individuals by Japanese government, as well as personal information related to those individual numbers
