The Nichirei Group’s Handling of Specific Personal Information

We, Nichirei Corporation and its Group companies (hereinafter, the “Nichirei Group”; click here for a definition of Group companies) hereby provide the following notice with regard to the handling of the specific personal information we possess. Click here for details regarding specific personal information.

(1) Purpose of Use of Specific Personal Information

The Nichirei Group uses the specific personal information it has been provided within the declared scope of use for the following objectives in Japan.

  • Items related to tax withholdings on salary income and retirement income
  • Items related to declarations, notifications, and the preparation of application forms pertaining to workers property accumulation savings
  • Items related to notifications, applications, requests, and the preparation of certificates pertaining to employment insurance and industrial accident compensation insurance
  • Items related to notifications, applications and requests pertaining to health insurance, employee’s pension , corporate pensions, and the Smaller Enterprise Retirement Allowance Mutual Aid Scheme
  • Items related to notifications pertaining to the third grade of the National Pension
  • Items related to the preparation and provision of statutory documents for financial instrument transactions pertaining to employee stock ownership plan
  • Inquiries about items related to the preparation of statutory reports pertaining to payments of insurance proceeds from employee welfare benefit plans
  • Other requests for participation in surveys regarding items related to the preparation of statutory documents necessary for Japanese government-allocated numbers held by executives (employed and retired) and their dependents
  • Items related to the preparation of payment records for real estate agent and broker fees (including for company housing)
  • Items related to the preparation of payment records for the transfer of real estate
  • Items related to the preparation of payment records for brokerage commissions on the purchase and sale or lending of real estate.
  • Items related to the preparation of payment records related to remuneration, fees, contract monies, and awards
  • Items related to the preparation of payment records for interest.
  • Items related to the preparation of payment records for dividends, as well as the distribution of surplus funds and fund interest
  • Other items related to the preparation of statutory documents required in connection with Japanese government-allocated individual numbers of personnel other than executives and employees

In the event that specific personal information is obtained directly in writing (including via the website, electronic mail, or other electronic means) from customers and other stakeholders, the Nichirei Group will reveal in advance the use to which this information will be put at each juncture, except when otherwise legally required.

(2) Compliance with Relevant Laws, Regulations, Guidelines, etc.

The Nichirei Group complies with Japanese laws and regulations, including the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure, Guidelines for Proper Handling of Specific Personal Information (for Private Entities), and the Act on the Protection of Personal Information, and handles specific personal information appropriately.

(3) Items Related to Safety Management Measures

To prevent specific personal and other information from being leaked, lost, or damaged, the Nichirei Group designates an individual to be in charge of managing the information, and has in place internal regulations to manage specific personal information appropriately.

(4) Procedures for Responding to Requests for Disclosure of Specific Personal Information

The following procedures apply when an individual or their proxy requests the disclosure of specific personal information (including notification of the purpose of use, content revisions, additions or deletions, cessation of use, erasure, or the cessation of provision to third parties).

  1. Documents required to request disclosure (including notification of the purpose of use, disclosure, content revisions, additions or deletions, cessation of use, erasure, or the cessation of provision to third parties)
    If requesting disclosure related to specific personal information held by Nichirei Group companies, please telephone the inquiries desk and ask for a specific personal information disclosure request form. The form should be filled in and returned by mail. Please also enclose the following items to confirm your identity.
    • o A copy of one of the following: driver’s license, passport, health insurance card, certificate of residence or family register
      (Please redact your permanent address.)
  2. Method for submitting requests for disclosure
    Please post the necessary documents described in 1. above (providing your name, address, and other items required by personnel administration) to the inquiry desk indicated below. Please write “Specific Personal Information Contained Inside” in red on the envelope, and send it by certified or registered post to ensure that there is a record of the item having been posted.
  3. Requesting disclosure via a proxy
    When making a request for disclosure via a proxy, please enclose the documents below, in addition to the necessary documents indicated in 1. above (providing your name, address, and other items required for personnel administration).
    • o A copy of one of the following: driver’s license, passport, health insurance card, certificate of residence or family register
      (Please redact your permanent address.)
    • o A power of attorney document (include a letter of authorization with the personal seal of the individual, as well as a personal seal registration document for that seal, issued within the past three months. If the proxy has parental authority, instead of the letter of authorization provide an abridged copy of a family register or
      certificate of residence issued within the past three months.)
  4. Fees for requesting notification of purpose of use or disclosure
    Any fees necessary for preparing the necessary documents indicated in 1. and 3. above are to be borne by the individual or his/her proxy, who must also bear the cost of postage for the documents.
  5. Method of responding to requests for disclosure
    We will respond in writing to the address of the individual or proxy given in the request form.
  6. Other
    • o If the above procedures are not followed, we reserve the right not to respond to the request for disclosure
    • o Please understand that disclosure may not be requested by visiting the Company in person
    • o The above procedures may be revised in the event that the method of requesting disclosure is revised due to changes in the law or for other reasons. Whenever requesting disclosure, please confirm the procedures required

  • Definition of specific personal information
    To clearly differentiate between personal information and specific personal information as described in this policy, the terms are defined as follows.
    • Personal information: This is information that does not include the numbers allocated to individuals for their lifetime by Japanese government (based on the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure). Known as the Social Security and Tax Number system, it is to be used for administrative procedures related to social security, taxation, and disaster response in Japan
    • Specific personal information: This information comprises the numbers permanently allocated to individuals by Japanese government, as well as personal information including those numbers
