The Nichirei Group’s Handling of Personal Information

We, Nichirei Corporation and its Group companies1 (hereinafter, the “Nichirei Group”) hereby give notice regarding our handling of personal information in our possession.
Our use of the term “personal information” excludes specific personal information2 (click here for details). The meaning of the term “specific personal information” is provided here.
Each Nichirei Group company may prescribe its own separate regulations regarding the handling of personal information, in which case such regulations shall take precedence.

1. Purpose for Use of Personal Information

The Nichirei Group uses personal information within the scope of use necessitated by the following objectives.
In the event that personal information is obtained directly in writing (including via the website, electronic mail, or other electronic means) from customers and other stakeholders, the Nichirei Group will reveal in advance the purposes for which this information is to be used, except when exempted by law. The Nichirei Group will reveal the purposes for which personal information is to be used in the following cases:

1. Personal information of applicants for participation in campaigns, sweepstakes, or other similar events organized by the Nichirei Group
  • To conduct drawings and communicate the results of these drawings
  • To send prizes, gifts, or other items and communicate with recipients regarding their shipment
2. Personal information of applicants for participation in contests and other similar events organized by the Nichirei Group
  • To conduct the selection process
  • To provide information and communicate necessary details related to the event
3. Personal information regarding users of the e-mail distribution service provided by the Nichirei Group
  • To facilitate the dissemination of these e-mail distribution services
4. Personal information of individuals who participated in surveys conducted by the Nichirei Group
  • To compile survey results and explore ways to develop and improve products and services and enhance business operations
  • To provide rewards for survey participation and communicate with recipients regarding the distribution of such rewards
5. Personal information of individuals who submit inquiries to the Nichirei Group
  • To investigate matters related to inquiries received
  • To explore ways to develop and improve products and services and enhance business operations based on inquiries
  • To contact individuals regarding their inquiries
6. Personal information of individuals who apply to use the Nichirei Group's corporate tie-up services to perform actions related to real estate, including acquisition, retention, disposal, leasing, management, purchase and sale, and brokerage
  • To determine whether to approve or disapprove the application of corporate tie-up services
  • To facilitate the rendering of corporate tie-up services
  • To communicate necessary details related to the use of corporate tie-up services
7. Personal information of Nichirei Corporation shareholders
  • To create and manage a shareholder registry
  • To announce and hold general meetings of shareholders and to tally voting forms
  • To implement procedures mandated by laws and regulations
  • To distribute dividends
  • To provide various other information and benefits to shareholders and facilitate the implementation of various policies
8. Personal information of former employees who have left the Nichirei Group
  • To prepare and submit certificates of separation from employment for individuals receiving employment insurance coverage and notifications of loss of employment insurance eligibility
  • To prepare and submit notifications of loss of eligibility for health insurance and employees' pension coverage
  • To prepare and submit notifications of personnel transfers of salary earners for purposes of payroll reporting and special tax collection
  • To ensure compliance with labor-related laws and regulations

2. Shared Use of Personal Data Retained by the Nichirei Group

The Nichirei Group may share internally the following items within the scope of use necessitated by specified objectives.

(1) Personal data of Nichirei Group business partners, etc.
a. Personal data to be shared and used concomitantly
Names, company names, addresses, telephone numbers, e-mail addresses, contract conditions, and other details concerning transactions and communications

3. Provision and Disclosure of Personal Information to Third Parties

Personal information held by the Nichirei Group will not be provided or disclosed to third parties, except under the following circumstances.

  • If the individual’s consent is obtained in advance
  • When provision or disclosure is necessary for the protection of the life, body, or property of an individual and obtaining consent is prohibitively difficult
  • When provision or disclosure is especially necessary for improving public health or promoting the sound growth of children and obtaining consent from the individual concerned is prohibitively difficult
  • When it is necessary to cooperate with a national agency, a local government, or an individual or entity appointed by either a national agency or local government, to execute duties mandated by law and obtaining the consent of the individual concerned is likely to impede the execution of those duties
  • When the handling of personal data is either wholly or partially outsourced upon selection of an appropriate outsourcing partner and the execution of the necessary oversight
  • When data is to be used concomitantly following the establishment of necessary measures
  • When required by other laws and regulations

4. Management of Personal Information

With regard to the management of personal information, we will implement security control measures determined to be appropriate based on the sensitivity, importance, handling conditions, and risk of leakage associated with the personal information under consideration while also executing the following actions.   • The Nichirei Group will establish internal regulations to ensure that personal information is handled appropriately.
  • Regular training will be provided to employees regarding precautions to be taken when handling personal information.
  • To protect against unauthorized external access, loss, destruction, falsification, and other risks associated with personal information, we will implement a variety of information security measures, including countermeasures aimed at preventing unauthorized access and computer viruses.
  • Access to personal information databases and other repositories shall be limited to those with access privileges and managed internally to prevent unauthorized use.

5. Inquiries Related to Personal Information

We encourage individuals or representatives who wish to submit inquiries or requests regarding personal information retained by the Nichirei Group to contact our inquiries desk by telephone. The Nichirei Group will follow the procedures below when responding to requests received in connection with personal information retained by the Nichirei Group.

(1) Contacting the inquiries desk by telephone
We encourage individuals who wish to submit inquiries or requests regarding personal information retained by Nichirei Group companies to contact our inquiries desk by telephone. An appropriate application form will be sent in response to inquiries.
(2) Submission of required documents to our inquiries desk
Please fill out all required items on the appropriate application form and send the form by mail to our inquiries desk, enclosing the documents indicated in sections “a” and “b” below. When submitting applications to our inquiries desk, please write “Personal Information Application enclosed” on the encapsulating envelope in red ink and send it by registered mail or another method by which a record of delivery can be confirmed (specified recorded mail, simplified registered mail, etc.). (The cost of preparing the required documents and the postage incurred when sending them to the Company shall be borne by the individual or his/her representative.)
a. One of the following identity-verifying documents
  • A copy of the corresponding individual's driver's license (including a copy of the reverse side, if applicable)
  • Health insurance card or certificate of residence
  • A copy of the corresponding individual’s family register (please blank out information regarding the individual’s permanent legal address)
b. One of the following documents verifying the relationship between individual concerned and his/her representative (not required if the request is made by the individual concerned)
  • A letter of authorization (bearing the concerned individual’s personal seal) and a corresponding seal registration certificate issued within the last three months
  • Documents proving that the submitting party is a person with parental authority, a guardian, or some other legal representative of the individual concerned (a copy of the appropriate family register, certificate of residence, certificate of guardianship, etc.)
c. One of the following documents confirming the identity of the submitting person acting as a representative of the individual concerned
  • A copy of the submitting person’s driver's license (including a copy of the reverse side, if applicable)
  • Health insurance card or certificate of residence
  • A copy of the submitting person’s family register (please blank out information regarding his or her permanent legal address)
(3) Response to applications
We will respond in writing to the individual or his/her representative at the address stated on the corresponding request form.
(4) Other
If the above procedures are not followed, we may be unable to respond to requests for disclosure, etc. Please note that we cannot accept requests made in person at our offices. Request procedures may be revised as necessary due to changes in applicable laws and regulations, etc.

Please understand that disclosure may not be requested by visiting the Company in person.

  1. Definition of Group Companies
    “Group companies” include companies that are headquartered in Japan and in which Nichirei Corporation holds a majority of voting rights (hereinafter referred to as “subsidiaries”); companies in which subsidiaries hold a majority of voting rights (hereinafter referred to as “second-tier subsidiaries”) and companies in which second-tier subsidiaries hold a majority of voting rights.   2. Personal information and specific personal information
    To clearly differentiate between the terms personal information and specific information, as used in this policy, the terms are defined as follows.
    • Personal information: This is information that does not include the numbers allocated to individuals for their lifetime by Japanese government (based on the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure). Known as the Social Security and Tax Number System, it is to be used for administrative procedures related to social security, taxation, and disaster response in Japan
    • Specific personal information: This information comprises the numbers permanently allocated to individuals by Japanese government, as well as personal information related to those individual numbers
